Behind every beautiful property, happy guest and five-star review is a lot of work that rarely gets seen. Most days, everything comes together exactly as planned — but not every day is a good day. Sometimes things go wrong, mistakes happen, expectations aren’t quite met, and even the best-laid plans need to be adjusted.
Social media has a funny way of making business look effortless.
Beautiful properties, freshly made beds, stunning views, happy check-in, five-star reviews.
And I love sharing those moments. But there is another side to property management that doesn’t always make it onto the socials.
Most days everything comes together exactly as planned. And there are the other days...
Today was one of those days. a 14-hour work day with the normal 05:00am start to the day.
4 turnovers, 6 arrivals, 2-mid stay cleans and a long list of preparations for the long weekend and ofcourse a few surprises thrown in for good measure.
There were little things that needed fixing, unexpected maintenance issues that needed creative solutions, and last-minute problems that simply couldn’t wait until tomorrow.
At one point, a guest and I stood looking at each other, both wondering how on earth I was going to remove a piece of a broken key from a safety-gate lock. I had my toolbox with me. I had my usual tricks.
Nothing worked.
Thankfully, his wife reached into her handbag and produced a pair of tweezers and another little magical cuticle tool. Within a minute or two, the piece of metal was dislodged and removed.
Problem solved.
And once again, I was reminded that in property management, you never quite know what is going to save the day.
There were moments in the day where I had to stop, take a breath and figure things out.
There were also lessons in communication, accountability and remembering that sometimes the best response is simply to listen, acknowledge, and do better.
I received some guest feedback that was intended as constructive criticism, but on a particularly challenging day, I took it a little too personally. That happens when you set extremely high standards for yourself and care deeply about the experience you’re providing.
Today, I reacted in a way that was out of character for me. And that’s something I needed to acknowledge.
Because behind every property we manage are real people. People answering messages. People coordinating cleaning crews and maintenance teams. People checking that a property is ready. People solving problems when the usual solution isn’t available. People making decisions when something unexpected happens.
And sometimes, despite our best efforts, things just don’t go perfectly.
That’s the reality of hospitality.
We can plan.
We can prepare.
We can have systems and checklists and backup plans.
But there will always be the unexpected. That one time where we genuinely slip up and forget to add an important amenity, where we forget to add an important access code to the check-in instructions or to check in a certain spot. Small things that can make a big difference in a guest experience.
A lock that doesn’t cooperate. A maintenance issue at the most inconvenient time. A last-minute change. An unexpected deep clean, A Courier Service that does not deliver a long anticipated piece of furniture on time before a guest arrives, A public holiday when the person you actually need for the job isn’t available today. A property that needs a little more attention than anticipated.
And every property manager learns quickly that a few things are essential: a well-stocked toolbox, an emergency cleaning caddy, a phone full of useful contacts and, when all else fails, YouTube and a willingness to figure it out!
These aren’t necessarily the glamorous parts of the job, but they are a very real part of it. And perhaps that’s what I love about this business. Not because everything always goes perfectly — but because when it doesn’t, I get to figure it out (Well, sort of...)
We get to be creative. We find solutions. We make the phone calls. We send the messages. We roll up our sleeves. And we keep going.
My guests see the finished product, and my owners see the results. But there is a whole lot of work happening behind the scenes to make those things possible.
So today, I am choosing not to share another picture-perfect moment. I am sharing the reality instead. Not all days are good days. Some days are messy. Some are frustrating. Some test your patience. Some remind you that there is always room to improve. But those days matter too.
Because the goal isn’t to pretend that everything is perfect all the time. The goal is to care enough to keep improving, to take responsibility when you dropped the ball or if something doesn’t go as planned and when you are simply just not ready in time. Today was one of those days. But then you remind yourself to keep showing up tomorrow ready to do it all again.
That’s the real and authentic side of property management. And I am okay with showing you that side too (if you will let me).
